Saving PowerPoint Presentations

PowerPoint has many file formats available for saving a PowerPoint Presentation, however the two most useful and practical are ".ppt" (normal PowerPoint Presentation format) and "Web Page Format" (saves as a .html file).

Saving as a PowerPoint Presentation (.ppt)
Saving as a PowerPoint Presentation file (.ppt) will store all slides in one file, preserving the presentations original format as it was designed in PowerPoint. These files are generally very large and can take up several megabytes of space. This makes uploading the file more time consuming and in some cases (depending on available web space) impossible. To save as a .ppt file: go to File-> Save As and make sure "Save as type: (Presentation *.ppt) " is selected. Name your file and click Save.

 

Saving as a Web Page (.htm, .html)
Saving as a web page creates an index ".html" or ".htm" file (e.g. "your presentation name.html"), and a folder named "your presentation name_files" in the directory you are saving to. All of the images you use and the actual scripts that run your PowerPoint slides are stored in the created  presentation_ folder. This folder is essential! It creates the cohesion among slides and your presentation will not work without it. The .html document created works as a sort of executable and is similar to running a regular .ppt, except that it loads in an internet browser instead of PowerPoint. To run your .html presentation double click on the your presentation name.html file and the web page should load in your default web browser









 

Uploading PowerPoint Presentations

To upload your presentation to the web you must use some type of FTP (file transfer protocol) client. There are several FTP clients available for download on the web and you can also use FTP through DOS prompt . There is even a form of FTP incorporated into Microsoft FrontPage and PowerPoint.

To upload your files using PowerPoint FTP:

1.) Go to File -> Save As

2.) Scroll down the "Save in: " menu to Add/Modify FTP Locations.

3.) Enter in your web server's FTP address, your username, and your password in their respective fields.

4.) Click OK.

5.) Double click on this link to connect to your FTP server.

6.) A list of files/folders on your FTP server should appear, Save your file in the directory from which you wish to access the file.

 


Use this window to add new FTP locations, or modify existing ones.

Linking to PowerPoint Presentations

If you have successfully uploaded your presentation to a web server, you may want to create a link to it on a web page for future downloads or reference. PowerPoint presentations can be linked in HTML just like any other file or document. Include the following tags, replaced with your information, in your HTML document

Accessing PowerPoint Presentations

These documents/files can be accessed remotely in a similar way. Type in the address in your internet browser to the file or html. If you are accessing a .html presentation, your presentation should load in the browser. If your are accessing a .ppt presentation, a window should appear prompting you to open the file from the existing location or save it to disk. When opening this file, whether from the remote web server or from a location where you saved it on your hard drive, Microsoft PowerPoint will be called to open it.
